Purpose of post: Under the authority of the Director of the Office, the supervision of the Deputy Director for Corporate Services and the direct supervision of the Chief of HR Unit, the incumbent will assist the follow-up of the activities of the HR unit by carrying out a variety of clerical activities as follows:
Main responsibilities: 1. Assists the HR unit in recruitment processes and procedures;
2. Elaborates and registers contracts data in the Financial and Budgetary System - SICOF, follows up the progress of the contracts, prints them for signatures; Schedules personnel payments in the system after checking the support documentation;
3. Compiles information/statistics in spread sheets and prepares documents/forms, reports and correspondence to support the HR unit’s administration, decision taking and the processing of transactions;
4. Maintains files/reference systems and other manual and computerized directories/databases related to the HR unit (e.g. correspondences, documents, contracts and resignations, lists and records of the UBO personnel, leave report records, work-plans, etc), keeping the dossiers in due order;
5. Collects and organizes the unit documentation backlog to be filed or sent to the safekeeping company - Keep-Doc; Updates the unit’s control/management templates and/or files;
6. Answers to inquiries regarding files, correspondences and references, when necessary;
7. Responds to requests for information (received by e-mail and mail – both internal/external) related to HR issues;
8. Performs other duties as required.
Profile: Secondary Education; University degree in Administration or Psychology with specialization in Human Resources field would be an asset. 03 years of previous experience in HR procedures and administration. Previous experience within UN agencies would be an asset. The post requires: - Knowledge of Microsoft Office package, specially excel, word, internet and related
tools; - Proficiency in two languages: Good knowledge of English or French and excellent Portuguese; - Knowledge of UN system will be an asset. Profile competence required: - Ability to work in a team and under pressure; attention to detail, information gathering and processing, initiative, discretion and maturity of judgment.
Conditions of employment: Gross Monthly salary of 2.607,42 Reais. The initial contract will be for 03 months with a probationary period of 30 days. Renewal of contract will be subject to satisfactory service.
